How to Find and Pay an Invoice
If your sports organization sent you an invoice for a tournament fee, uniform, or other charge, this article walks you through everything you need to pay it. You'll learn how to find your invoices, what each screen shows you, how to choose the right payment option for your situation, and how to update your payment method.
How to Find Your Invoices
You have two ways to get to your invoices: directly from the email your organization sent, or anytime through your TeamSnap account.
From the Invoice Email
When an organization sends you an invoice, TeamSnap delivers an email to the primary contact address on your account. If two parents or guardians are listed as primary contacts, both will receive the email.
The email includes:
- The member's name (the player being invoiced)
- The invoice name and description
- The total amount and the due date
- A unique invoice ID (format: INV-###-###)
- A Pay now button
Clicking Pay now takes you directly into your TeamSnap account. If you're already signed in, you land straight on the invoice. If not, you'll sign in first and then be redirected there automatically.
Anytime at identity.teamsnap.com
You don't need the original email to pay an invoice. Sign in to your account at identity.teamsnap.com and click the Invoices tab. You'll see every invoice your organization has sent you, along with the current status of each one.
How to Pay an Invoice
Click any invoice from your list (or use the Pay now link in the email) to open the invoice details screen. You'll see three cards on this screen.
Invoice Details Card
This card shows the key information about the invoice:
- Total amount
- Next due date
- Member name the invoice is for
- Invoice ID
- Invoice name and description
Payment Details Card
This card shows your financial summary:
- Invoice total
- Total paid so far
- Remaining balance
- A payment button
Payments Card
This card appears once a payment schedule has been set or at least one payment has been made. It shows:
- Each installment or payment with its date and amount
- A Change link to update your saved payment method
Choosing a Payment Method
When you click a payment button, you'll be prompted to select a payment method. You can pay by:
- Credit or debit card
- ACH bank transfer
Your payment method is saved automatically after your first payment and used for future scheduled installments on the same invoice.
Lifecycle Emails You'll Receive
TeamSnap sends automatic emails throughout the life of your invoice. You don't need to do anything to trigger these, and they're sent to the primary contact(s) on your account.
| When you receive it | |
|---|---|
| Invoice notification | When the organization first sends the invoice |
| Upcoming payment reminder | Before each scheduled installment is due |
| Payment confirmation | After each successful payment |
| Failed payment notification | If a scheduled or attempted payment doesn't go through |
| Overdue reminders | Automatically at 1, 7, 14, and 30 days after a missed due date |
If a payment fails, you'll receive a notification even if you weren't the one who initiated it (for example, if an automatic installment charge fails). The invoice stays unpaid until you complete a new payment.
After a successful payment, a confirmation email follows shortly after.
How to Update Your Payment Method
Your saved payment method is used for any scheduled automatic installments on the invoice. To change it:
- Sign in at identity.teamsnap.com and open the invoice from the Invoices tab.
- Scroll down to the Payments card.
- Click the Change link next to your saved payment method.
- Enter the new card or bank account details and save.
The new method takes effect immediately for all future scheduled payments on that invoice.
"I Got the Email but I Can't Pay"
If you open an invoice and see the payment status but no payment buttons, someone else may have already paid it on your behalf.
When a member account has two primary contacts (for example, two parents), both receive the invoice email and can view the invoice. Once one contact pays, the other sees a read-only version. It will show a Paid or Partial payment status badge with text that reads "Paid for by [name]." No payment buttons appear.
If you believe this is an error, reach out to your organization's admin. They can confirm the payment status and help resolve any mix-up.
