Getting started with tasks

The Tasks feature in TeamSnap ONE helps your team coordinate the jobs needed for every game and practice — like running the clock, keeping score, or bringing snacks. Team staff can easily add tasks to an event, allowing members to view and claim open spots.

Where to find tasks

  1. Open your TeamSnap ONE app
  2. From your home screen, click on a team or on the All Schedules tab on the bottom menu
  3. Click on an event from either your Team Schedule or All Schedules tab
  4. Tap the Tasks tab on the top menu.

Everything the team needs for that event appears there, along with how many spots are still open.

Finding tasks

How it works

Staff (Head Coach, Coach, or Team Manager) add tasks, assign people to them, and set default tasks for the whole team. Contacts see the tasks on an event and sign up for open spots.

Every task has at least one spot, and there are two ways a spot gets filled:

  • You sign up. Open the event, find the task, and claim a spot.
  • Staff member assigns you. TeamSnap emails you what you're on for and when.

TeamSnap ONE follows up so staff don’t have to

As staff, you don't have to keep following up; TeamSnap ONE does it for you.

While a task still has open spots, TeamSnap ONE posts a reminder in your Team Chat — 5 days before the event, and again 24 hours before. Coaches can also post a Volunteers needed card to chat whenever they want to make the ask directly.

Once every spot on a task is filled, those reminders stop. Nobody gets nudged about something that's already handled.

Setting default tasks for your team

Default tasks are the jobs your team needs every time. Set snacks as a default for games, and TeamSnap ONE adds it to every game on your schedule, so you're not adding the same task fifteen times. Games, practices, and other events each keep their own defaults.

Defaults live in your team's settings rather than on an individual event, so they apply across the whole season.

Add a default task

  1. Open your TeamSnap ONE app
  2. From your home screen, select your team
  3. In the top-right corner, tap the Settings icon.
  4. Tap Default tasks.
  5. Choose Games, Practices, or Other events in the top menu
  6. Click the + button in the bottom right corner
  7. Select the task you want to add from the suggested tasks list or create a new task
  8. Add or change the task name and add a description.
  9. Confirm how many volunteers you need.
  10. Confirm if you want to add this task to upcoming and new games or just new games that are added to your schedule.
  11. Tap Add Task.

Choosing which events a change applies to

Every time you add, change, or remove a default, TeamSnap asks what to do about the events already on your schedule. You get two choices:

  • Upcoming and new events — the change reaches events already on your schedule, plus everything created from here on.
  • New events only — your existing events stay exactly as they are.

This way, you can add snacks in October without rebuilding the rest of your season.

Changing a default task

  4. Choose the event type.

Changing a default task on one event

If one game needs something different, you should make edits directly on that event by following these steps.

  1. Open your TeamSnap ONE app
  2. Click on the All schedules tab and navigate to the event.
  3. Open the event and tap the Tasks tab.
  4. Tap the edit button beside “All tasks”
  5. Edit the task you’d like to make changes to.
  6. Tap Continue when it asks you if you want to unlink the task

Important: Unlinking can't be undone. Once a task is unlinked, it stops receiving changes you make to the default — including changes to spots, the description, and the name.

What default tasks don't do

  • They don't assign anyone. A default puts the task on the event with its spots open. Someone still has to sign up or be assigned.
  • They don't carry people forward. Signing up for a task on one game signs you up for that game only, never for the rest of the season.
  • They don't apply across event types. A default you set for games won't show up on practices.
